Terms of service

Draft of 24 October 2026

This is a draft. It describes how Vaultpx works today, but a lawyer is still reviewing it, so parts may change before Vaultpx opens to everyone. Notes marked "To confirm" are still open.

These terms are an agreement between you and the people who run Vaultpx. By creating an account or using a Vaultpx gallery, you agree to them. If you don't agree, please don't use Vaultpx.

1. Who we are

Vaultpx is a service for photographers to share private galleries with their clients. It is run from Nairobi, Kenya, by Saiyanka Media. To confirm: the full legal name, registration number and postal address of the business.

You can reach us at To confirm: a contact email address.

2. Photographers and clients

A photographer has a Vaultpx account, uploads photos and shares galleries. A client is anyone a photographer shares a gallery with. Clients don't need an account. Parts of these terms apply to one group only, and say so.

3. Your account

  • You must be 18 or over, or have a parent or guardian's permission, to open an account.
  • Give us true details and keep them up to date.
  • Keep your password safe. You are responsible for what happens under your account.
  • One account has one studio.

4. Your photos

Your photos stay yours. We don't claim ownership of them, and we don't use them for anything except running Vaultpx for you.

You give us permission to store your photos, make smaller copies of them, and show them to the people you share a gallery with. We need this to provide the service. It ends when you delete the photos or your account, apart from a short time while copies are cleared from our systems.

By uploading photos you confirm that:

  • you took them, or you have the right to upload and share them;
  • you have the permission of the people in them where the law or good practice requires it, especially for photos of children;
  • sharing them with your clients does not break anyone's rights or any law.

You decide who gets each gallery link and PIN. Anyone who has both can open the gallery, so share them carefully. If a link or PIN gets into the wrong hands, change the PIN or close the gallery.

Vaultpx is not a backup service. Keep your own copies of your original photos.

5. What you must not do

  • Upload anything illegal, including any sexual image of a child. We will report this to the authorities.
  • Upload photos you have no right to share, or share a gallery to harass, threaten or deceive anyone.
  • Upload malware, or try to break into, overload or get around the limits of Vaultpx.
  • Guess other people's PINs or try to open galleries you were not given.
  • Resell Vaultpx or use it to build a competing service.

If you break these rules we may remove content, close galleries, or suspend or end your account. Where we can, we will tell you first and explain why.

6. Plans, prices and payment

Vaultpx has a Free plan and paid plans. What each plan includes and what it costs is shown on the pricing section of our home page and on the Billing page in your account. Prices are in Kenyan shillings (paid by M-Pesa) or US dollars (paid by card).

  • You pay in advance, for a month or a year, for the plan you choose.
  • We never charge you without you approving it. When a paid plan is due, we remind you first. For M-Pesa you then approve the payment on your phone with your PIN. For card we email you a link to pay.
  • A payment only counts once your provider confirms it. If a payment fails or is cancelled, your plan does not change and you are not charged.
  • You can move to a bigger plan at any time. You can move to a smaller plan once your current period ends.
  • When you move to a bigger plan, the new period starts on the day you pay. We add the time you had left on your old plan, valued at what that time was worth on the new plan, so you don't lose what you paid for. The Billing page shows the extra days before you pay.
  • To confirm: the refund policy.
  • To confirm: whether prices include VAT, and how receipts should show it.

7. If a paid plan runs out

If you don't renew when your plan is due:

  • For 7 days your galleries stay open to your clients, but you can't upload new photos. You can renew at any time in this period.
  • After that your account moves to the Free plan and your galleries close to clients. Your photos are kept.
  • We keep your photos for 90 days after that. We email you reminders at about 30 days and again at about 83 days. If you renew in this time, your galleries open again.
  • After 90 days the photos are deleted for good and cannot be recovered.

8. Storage limits

Each plan has a storage limit. When you reach it you can't upload more until you remove photos or move to a bigger plan. We won't delete your photos because you reached a limit.

9. Clients using a gallery

If you are a client, a photographer has chosen to share these photos with you. You may view them, mark favourites, and download them if the photographer allows it. Downloads are for your own personal use unless the photographer has agreed otherwise with you. The photographer, not Vaultpx, decides what rights you have in the photos.

To protect galleries, a gallery PIN is locked for a while after too many wrong tries. The photographer can see which photos you marked as favourites and the email address you gave.

10. Ending your account

You can stop using Vaultpx at any time. To delete your account, open Account at the bottom of your dashboard and follow the steps. We then delete your studio, galleries and photos straight away. This can't be undone. If you have a paid plan, deleting your account ends it, and To confirm: whether the time left is refunded (see the refund point above).

We keep a record of past payments for as long as the law requires. When you delete your account we remove your name, email and phone number from those records, so they no longer show who you are.

11. Keeping Vaultpx running

We work hard to keep Vaultpx available and your photos safe, but we can't promise it will never be interrupted or free of mistakes. We may change or improve the service, and we will tell you in advance about changes that matter to you.

To confirm: the limit on what we are responsible for. A lawyer should word this to fit Kenyan consumer law.

12. Changes to these terms

If we change these terms in a way that matters, we will email photographers at least 14 days before it starts. If you keep using Vaultpx after that, you accept the new terms.

13. Law

These terms are governed by the laws of Kenya, and the courts of Kenya can settle any dispute. To confirm: the exact wording, and whether to allow mediation first.

14. Privacy

How we handle personal information is explained in our privacy policy.
